What "Word to Kindle Conversion" Actually Means
Word to Kindle conversion is a three-stage transformation: your DOCX manuscript becomes a validated EPUB3 package, which Amazon’s ingestion workflow then transcodes into KFX — the proprietary format that ships to Kindle devices and apps. The first two stages happen on our side; Amazon owns the final EPUB3-to-KFX step inside KDP, and we never deliver KFX directly because Amazon does not distribute the toolchain.
Generic ebook conversion services stop at EPUB3 and leave authors to upload whatever comes out. Word-2-Kindle was built specifically for the Word-to-Kindle path — the brand name maps to the workflow. We optimize the EPUB3 against the exact transformations Kindle Previewer 3 applies during KFX generation, which is why a manuscript prepared for "ebook" in general often fails on Kindle in particular.
Why Word documents resist clean conversion
- Direct formatting vs styles — bolding a chapter title manually rather than applying "Heading 1" produces an EPUB without semantic chapter breaks. Kindle then cannot generate a real ToC, and the reader sees "Location 1234" instead of "Chapter 7."
- Image resolution decay — Word silently downsamples to 220 PPI on Save unless you change the default in File > Options > Advanced. Below 300 DPI, KDP flags the image as low-quality and Kindle Previewer 3 emits an image-resolution warning per affected figure.
- Font embedding — Word "embeds" by reference, not by truly embedding the font binary into the OPF manifest. Custom fonts that look correct in Word render as Bookerly or Caecilia fallbacks on Kindle devices, which silently destroys typographic intent in titles and drop-caps.
- Automatic ToC fields — Word’s TOC field is a runtime calculation, not a structural element. It does not always survive the DOCX-to-EPUB transition. EPUB3 needs an NCX nav-doc whose entries match the printed ToC line-for-line, or the Kindle "Go To" menu shows orphaned or missing chapters.
- Smart quotes, em-dashes, ellipses — when copy-pasted from web sources or PDFs, these characters arrive as Windows-1252 bytes inside a UTF-8 document. On older Kindle firmware (pre-5.13) the result is mojibake: a quote becomes "“" and an em-dash becomes "—."
The KDP Previewer warnings nobody reads
KDP runs an automated preflight before publishing. On a typical first-time Word upload it produces 8–12 warning categories: image-DPI-below-threshold, font-substitution-applied, navigation-mismatch, broken-internal-link, hyperlink-target-missing, encoding-anomaly, oversized-image-file, and several layout-related flags. The book still publishes — Amazon does not block on warnings — but the reader experience suffers, sample-to-purchase rates drop, and review quality reflects the formatting rather than the writing.

Frequently Asked Questions About Word to Kindle Conversion
Can I just upload my DOCX directly to KDP and skip conversion?
Yes, KDP accepts DOCX. The result is a KFX file generated from Amazon’s default DOCX importer, which preserves direct formatting as inline CSS and produces the warning categories listed above. The book publishes; the reading experience is what suffers.
Do you deliver the KFX file?
No. Amazon does not distribute the KFX generator or the KDP ingestion toolchain. We deliver validated EPUB3, which Amazon converts to KFX during your KDP upload. We provide the Kindle Previewer 3 output so you see the post-KFX rendering before you publish.
What about footnotes and endnotes?
Word’s footnote and endnote fields convert to EPUB3 popup notes when the structure is intact. Manuscripts with manual superscript-and-list footnoting (common in academic Word documents) require the note system to be rebuilt as proper EPUB3 noteref/note pairs.
How do you handle a manuscript with tracked changes and comments?
We accept the document as-is, accept all tracked changes, remove comments, and confirm the cleaned baseline with you before conversion begins. Tracked changes left in place corrupt the underlying XML and break paragraph numbering downstream.
Will my book look identical to my Word document on Kindle?
No, and it should not. Kindle reflows text to the reader’s chosen font, size, line-spacing, and margin.
