What Amazon Book Formatting Actually Means
Amazon publishing splits into two formatting tracks that share a dashboard but almost nothing else. KDP ebook formatting produces a reflowable file that Amazon converts to KFX for Kindle devices and apps. KDP Print formatting produces a fixed-page interior PDF and a wrap-around cover PDF for paperback or hardcover production. The two outputs are different files, with different page geometry, different image handling, and different metadata. A book sold in both formats needs both files prepared independently.
Generic “ebook formatting” ignores the KDP-specific quirks: KFX conversion behavior, the KDP Print gutter table, the Cover Template Generator’s exact spine math, and the way KDP’s Previewer flags image DPI and embedded-font issues that other retailers silently accept. Formatting for Amazon means formatting to those specific validators, not to a general EPUB checker.
KDP ebook formatting: the EPUB-to-KFX path
- KDP accepts EPUB, DOCX, and KPF uploads. The cleanest source is a hand-built EPUB3 — it survives KFX conversion with the fewest artefacts.
- KDP converts every upload to KFX (Kindle Format X) before delivery. Word-direct uploads produce messy KFX: style bleed between paragraphs, broken nested lists, missing chapter breaks, and image-DPI warnings on photos that looked fine in Word.
- Embedded fonts are not strictly required (Kindle has a default font stack) but are recommended for display type, drop caps, and any non-Latin script. Fonts must be referenced in the OPF and physically present in the EPUB.
- The table of contents must exist twice: an NCX nav-doc for legacy Kindle navigation and an HTML nav for EPUB3. Both must list the same headings in the same order, or the “Go To” menu and progress bar disagree.
- Images: JPEG or PNG, sRGB, longest edge at least 1600 px for full-page art, under 5 MB per image. KDP downsamples above that and flags it.
KDP Print paperback formatting: the trim and bleed math
- Trim sizes run from 5"×8" to 8.5"×11". Trade fiction defaults to 6"×9"; mass-market fiction to 5"×8"; non-fiction and memoir often pick 5.5"×8.5" or 6"×9".
- Gutter (inside margin) scales with page count: under 150 pages = 0.375", 151–300 = 0.5", 301–500 = 0.625", 501–700 = 0.75", 701–828 = 0.875". Set this wrong and text vanishes into the spine.
- Bleed: 0.125" on the three outer edges (top, bottom, outside) for any page where ink runs to the trim. Bleed pages must be exported at the bleed-trim dimensions, not the final trim.
- Final page count must be even — paperbacks are bound in signatures, and odd page counts get a blank inserted that breaks chapter starts. Plan blanks deliberately.
- Interior PDF: PDF/X-1a or PDF/X-3, all fonts embedded, images 300 DPI minimum at final size, no live transparency.

The KDP Print cover is a single PDF that wraps the back cover, spine, and front cover in one continuous image. Spine width is page count multiplied by a paper-specific factor: 50# white at 0.0025"/page, 50# cream at 0.0025"/page, 60# white at 0.0027"/page. A 300-page book on 50# white = 0.75" spine. Amazon’s Cover Template Generator outputs a sized PDF with the exact spine, bleed, and barcode placement zone for the chosen trim and page count — build the cover inside that template. Cover specs: 300 DPI, CMYK preferred (RGB is accepted but auto-converted with a colour shift), 0.125" bleed on the outer edges, all fonts embedded or outlined, no spot colours.
Why a Word doc upload almost never works clean
Word styles versus direct formatting is the single biggest source of broken KFX output: a chapter heading set with bold + 18 pt instead of the Heading 1 style produces no entry in the auto-generated ToC and no chapter break on Kindle. Embedded fonts in Word are references, not actual font files — the converter substitutes whatever it has. Image resolution drops every time a DOCX is saved with “compress pictures” on. The auto-ToC nav-doc Word generates does not match KDP’s logical-ToC requirement. Widow and orphan control is off by default in many templates, producing one-line stragglers on every other page.

- Correct gutter for the actual page count. Margins are set after the interior is laid out, not guessed before, so the inside text does not disappear into the spine.

Amazon’s print and Kindle pipelines need different files. KDP paperback formatting handles trim, gutter, and spine math for print review. Image-heavy titles need fixed-layout EPUB rather than reflowable. Uploading to KDP is the last-mile validation step. Professional typesetting sits underneath the print side, and specialty categories like cookbooks need their own composition rules.

Do I need separate files for Kindle ebook and KDP paperback?
Yes. The Kindle file is a reflowable EPUB that Amazon converts to KFX. The paperback is a fixed-page PDF at the chosen trim size with bleed and gutter set for that page count. They are produced from the same manuscript but exported as different files with different specifications.
What trim size should I pick for a novel?
6"×9" is the trade-fiction default and the most economical print cost per page on KDP for books over 150 pages. 5"×8" is closer to mass-market paperback dimensions and reads as more compact. 5.5"×8.5" sits between the two and is common for memoir and literary fiction.
Why does my Word document upload look broken on Kindle?
KDP converts the DOCX to KFX, and that conversion exposes every direct-formatted heading, every missing style, every embedded-font reference that points to a font the converter does not have. The fix is to rebuild the file as a structured EPUB3 with real styles, a proper NCX and HTML nav, and embedded fonts.
How do I calculate spine width for the cover?
Multiply final page count by the paper-stock factor: 0.0025" per page for 50# white or cream, 0.0027" per page for 60# white. A 240-page book on 50# cream has a 0.6" spine. The KDP Cover Template Generator does this math automatically and outputs a correctly sized template PDF.
Does the cover need bleed if my design is just a solid colour with text?
Yes. Any cover where colour or imagery reaches the trim edge needs 0.125" bleed on the outer edges, including the spine-to-cover transitions. Solid-colour backgrounds without bleed leave a white sliver after trimming.
